# Axiom Cortex application disclaimer

**Audience:** customer administrators, interviewers, reviewers, procurement teams, privacy teams, and security teams.

**Status:** Public product notice. This page is not the Terms of Service, Privacy Notice, Data Processing Addendum, Security Schedule, or legal advice. The signed order and current contract documents control.

## What the application does

Axiom Cortex is a decision-support application for recorded software engineering interviews. A customer configures the role, must-haves, interview questions, and ideal-answer criteria. Axiom Cortex connects those criteria to attributable transcript evidence and returns traceable findings, alignment context, evidence gaps, contradictions, and follow-up needs.

The result supports a qualified human review. It does not make an autonomous hiring decision, decide whether a person is employable, or guarantee future performance.

The phrase **mental shape** means an evidence-bound, role-specific pattern of observable work reasoning in the supplied interview. It does not mean a brain scan, access to a private mental state, a personality or intelligence test, a clinical diagnosis, a lie detector, or a permanent label about a person.

## What reviewers must understand

- The method uses job-related evidence from the configured role and supplied interview material.
- A transcript is only as reliable as its source. Review speaker labels, timestamps, technical terms, missing words, and material excerpts against the recording when lawful access exists.
- Missing evidence stays missing. An unasked question, short answer, unclear attribution, accent, pause, disfluency, disability, or polished delivery is not proof of weak ability or improper assistance.
- A speech-pattern irregularity can be a source-review flag for a possible read or externally assisted answer, including an AI-provided answer. It is not proof of AI use, dishonesty, or candidate ineligibility. A reviewer must inspect the source and decide whether a contextual follow-up is needed.
- A qualified human reviewer must check the role criteria, interview opportunity, evidence connection, transcript quality, accommodations, applicable policy, and applicable law before using the result in an employment decision.

## What the public site and demo do not do

The public website and read-only demonstration do not collect, upload, transcribe, store, or evaluate real interview recordings, transcripts, candidate records, or customer records. Do not place real candidate information in the public site or demonstration.

The public site is not a contract and does not itself promise a retention period, deletion deadline, data residency, zero-retention processing, security certification, subprocessor arrangement, or regulatory result.

## Before a production upload

Before a customer submits real interview material to the production application, the customer and provider should confirm the current:

1. Terms, Privacy Notice, and Data Processing Addendum.
2. Customer and provider roles, permitted purposes, data categories, and transfer locations.
3. Retention, return, deletion, backup, and subprocessor arrangements.
4. Security measures, incident process, access controls, audit evidence, and support channel.
5. Candidate notices, lawful basis, permissions, accommodation process, and correction path.
6. Report-use rules, human review ownership, and any employment or automated-decision requirements that apply to the use case.

Only the current, verified production documents can make those commitments. This page does not replace them.

Customers should submit only material they are authorized to provide, only for an approved purpose, and only to the extent needed for that purpose. Customer authority to upload material does not remove candidate rights or the customer's own legal responsibilities.

## Suggested production upload acknowledgment

The following text is a product-copy suggestion for a future authorized upload flow. It is not an active checkbox on this public website and is not a substitute for the candidate notice, lawful basis, consent where required, Terms, Privacy Notice, or DPA:

> I am authorized to act for this organization and to submit these materials for this evaluation. I confirm that the required notices, permissions, and lawful basis are in place. I understand that Axiom Cortex provides job-related decision support, that a qualified human reviewer controls the final decision, and that the applicable Terms, Privacy Notice, and Data Processing Addendum govern production processing.

## Suggested report footer

> Confidential customer assessment. Axiom Cortex reports what the supplied interview supports against the configured role criteria. It is not a clinical diagnosis, personality or intelligence test, lie detector, or guarantee of future performance. Review the supporting evidence, gaps, transcript limits, and applicable law before using this report in an employment decision.

For enterprise review, use this notice as a plain-language product boundary. Request the current signed legal, privacy, security, retention, and subprocessor documents before production data is submitted. The internal legal and data-protection framework is a counsel-review work document and is not the public contract.
